Introduction
The Biology Tutor promotes Biology education by organising revision workshops, extension classes and tuition for GCSE and A level students. It is referred to as ‘The Biology Tutor’, ‘we’, ‘us’ or ‘our’ in this notice. The purpose of this notice is to help you understand how and why we collect your personal information and what we do with that information.
What data do we collect?
When you sign up to participate in an online course, join a revision session or have 1:1 tuition, we will collect some or all of the following:
- Your name
- Your date of birth
- Your email address
- Your school and year group
- Your GCSE and or A level subjects
- Your GCSE or A level Biology exam board
- Your GCSE or A level Biology target grade and working at grade
- The name of one of your parents or guardians and how to contact them if needed
- Details of additional educational needs, where relevant
- Medical needs, where relevant
How do we collect your data?
You directly provide us with the data we collect. We collect and process data when you:
- Register online for any of our services.
- Voluntarily complete a survey or provide feedback via our website or via email.
- Use or view our website via your browser’s cookies.
How will we use your data?
We collect your data so that we can:
- Provide the very best educational service that is tailored to your needs.
- Ensure that our sessions are pitched at an appropriate level.
- Email you with details of upcoming sessions.
- Email you with special offers on products and services we think you might like.
- Contact appropriate people, for example in the event of a safeguarding concern.
We will not share your data with other individuals or organisations without your permission, unless required to do so by law.
How long do we store your data for?
Some of the information may be deleted at the end of the session you have attended, like information on your medical form. Other information is kept until you have taken your A level examinations. We will ask your permission if we wish to keep your information for longer than this; for example, to contact you to return as a mentor for future cohorts of students, or to use photos or videos of you for marketing materials.
Photographs and video
Sometimes we take photos and video of sessions and you may be in some of these. We do this so that the pictures can go on our Facebook page, twitter feed or some other social media platform. We sometimes take pictures to produce marketing materials, to help us spread the word about The Biology Tutor to other students, parents and teachers.
You can say when you sign up for any service if you do not want your picture to be used.
If we want to use a photo with you in it for a special purpose, we need to ask you for your permission. This is called ‘your consent’. The special purposes are when we would like to:
- put your picture on the home page of our website
- use your picture in an article or a report we have written
- use your picture on a poster or flyer.
You do not have to give your consent and if you decide not to, you can still participate in the sessions. You can also change your mind at any time. We will ask you what you want to do before we use a picture featuring you for one of these special purposes.
If you do change your mind about allowing us to use a photo or video that you are in, we will do our best to remove it. Sometimes though it is very difficult or impossible to take your image out of a recording that has already been made, so please think carefully about this when you are thinking about whether to give your consent or not.
What are your data protection rights?
You do not have to provide your data, but if you do not, we will probably not be able to give you a place at a Biology Tutor session.
You have the right to:
- See the information that we keep about you – you can ask for a copy.
- Request that we correct any information you believe is inaccurate or incomplete.
- Request that we delete some or all the information we have about you.
- Change your mind at any time about giving us your consent to use a photo or video of you for a special purpose.
- Restrict the processing of your personal data.
If you make a request, we have one month to respond to you.

This means that the processing is necessary for legitimate interests except where the
processing is unfair to you. We rely on legitimate interests for most of the ways in which we use your information.
Specifically, we have a legitimate interest in:
- Providing you with an education.
- Safeguarding and promoting your welfare and the welfare of other children.
Legal obligation
Where we need to use your information in order to comply with a legal obligation, for example to report a concern about your wellbeing to Children's Services.
We may also have to disclose your information to third parties such as the courts, the
local authority or the police where legally obliged to do so.
